Ensuring Contractor Compliance for a New Oil & Gas Operator
Woodland Development Corporation, a private light oil and gas exploration and development company based in Calgary, Alberta, faced a significant challenge in ensuring contractor compliance. As a newly incorporated company in 2022, Woodland lacked a formal compliance management system (CMS) to prequalify contractors, creating operational inefficiencies and potential risks.
With a focus on maintaining low lease operating expenses while ensuring safety and regulatory compliance, Woodland needed a solution that would streamline contractor vetting, reduce risk, and enhance communication with internal stakeholders and contractors. The risks of an unvetted contractor—ranging from financial liabilities such as litigation and workers’ compensation claims to intangible costs like audit failures and breakdowns in trust—made an effective compliance solution essential.
Recognizing the importance of a structured approach, Woodland sought a phased implementation strategy to:
A Comprehensive Contractor Management System
To address these challenges, Woodland Development Corporation partnered with Veriforce to implement its Contractor Management Solution (CMS). The Veriforce platform provided:
Veriforce worked closely with Woodland to design a customized risk classification system. Contractors were categorized based on their work type and associated risks, driving insurance and safety requirements accordingly. Additionally, exemptions were created for contractors who did not work onsite, ensuring fair and relevant compliance expectations.
The implementation followed a structured timeline:
November 8, 2023 – Kickoff meeting.
November 14, 2023 – Risk classification matrix review.
November 17, 2023 – Matrices finalized and configuration request submitted.
November 28, 2023 – Official launch of the Veriforce CMS at Woodland.
Improved Compliance, Efficiency, and Cost Savings
The Veriforce CMS delivered immediate and measurable improvements for Woodland Development Corporation:
Compliance Improvements
Reduced Onboarding Time
Time to onboard contractors decreased to an average of 1.35 days, significantly improving operational efficiency.
Cost Savings
Enhanced risk mitigation and compliance enforcement reduced potential legal and financial liabilities.
One of the key challenges during implementation was increasing contractor compliance while enforcing Woodland’s mandate for all contractors to be part of ComplyWorks. To address this, the Veriforce team provided frequent updates on newly added contractors and ensured proactive outreach to those already in the system who had not yet released their data.
Best Practice: A collaborative call-down approach was instrumental in improving compliance, ensuring timely communication, and maintaining strong relationships with contractors.
Building on this success, Woodland plans to enhance its Veriforce CMS by implementing the “Add a New Contractor” process with automated orientation features to further streamline onboarding and compliance management.
Woodland Development Corporation’s success demonstrates the power of Veriforce’s Contractor Management Solution in enhancing compliance, improving efficiency, and mitigating risk.
